Orders & Sales

All your orders are in Store → Sales. Search by invoice number, customer name or email, and filter by status. Test orders are marked TEST.

Click an order to see everything the customer chose:

  1. Items, including options and any customer note
  2. Shipping method and weight
  3. Totals
  4. The customer's contact details and address
  5. the payment details

You're told about every order

You get a "New order" email for each order, sent to your account's email address, with a link straight to the order. It arrives when an offline order is placed, or when an online (PayPal) payment is completed.

Order statuses

  1. Pending: Waiting for payment. An offline order stays pending until you mark it paid. A PayPal order is pending if the shopper left before paying; it becomes paid if they finish, and you can delete it if they don't.
  2. Paid: The money is in: paid through PayPal, or marked paid by you.
  3. Fulfilled: You've shipped or delivered it.
  4. Failed: PayPal did not complete the payment.
  5. Refunded: The customer has been refunded.

Manage Orders

Use the ⋯ menu on an order, in the Sales list or on the order itself:

  1. Mark paid — for an offline order, once the customer has paid you. The customer is emailed a receipt.
  2. Mark fulfilled — once a paid order has been shipped or delivered.
  3. Mark refunded — records that you refunded the customer. It does not send money back: refund the customer the way they paid. For a PayPal order, refund it in your PayPal account; the order then turns Refunded by itself.
  4. Invoice / Receipt — view the email the customer received, and send it again (see below).
  5. Delete — removes the order for good.

Refunding or deleting an order does not put its items back in stock.

Email

Your customers are emailed automatically:

  1. an invoice when they place an offline order, showing what they owe
  2. a receipt when an online payment is completed, or when you mark an offline order paid. It includes the PayPal transaction ID and payment time for PayPal orders.

Both look like the order screen in Sales: the items, totals, customer details and payment details. They're sent from your own mailbox, using your Sender Details. If Sender Details aren't set up, no emails are sent. Orders still work normally.

To view or resend one, open the order's ⋯ menu and choose Invoice or Receipt. You'll see exactly what the customer received. The customer's email address is filled in; change it if they mistyped it, or enter it if it's missing, then click Send. If the email can't be sent, the reason is shown right there, for example missing Sender Details or a mail-server error.

No emails are sent when an order is fulfilled or refunded.

A typical offline order

  1. A customer checks out choosing offline payment. They get an invoice; you get a "New order" email. The order is Pending, and stock goes down.
  2. You contact them to arrange payment and delivery.
  3. They pay: choose Mark paid. They get a receipt.
  4. You ship it: choose Mark fulfilled.

A typical PayPal order

  1. A customer pays with PayPal or a card. The order is Paid, stock goes down, they get a receipt, and you get a "New order" email.
  2. You ship it: choose Mark fulfilled.
